set printer for Sage 50 Accounting Software release 2017.3

I used to be able to select to print my invoices as PDFs. Today I discovered I can no longer do that.

Even though when I go to print the invoice the report option says it is set to PDF it prints on the inkjet and will not let me change that. t Every place I can possibly set the printer to PDF in reports has been done. The software will not print to PDF unless my default printer for Windows is set to PDF (Using Windows 10 pro). Never had this problem before. Only thing I did differently is that I closed my 2018 books and opened 2019. I have searched everywhere on-line for an explanation - there are several there which say choose reports and forms from the set-up menu and then pick your printer for the report you want. - All are set to PDF - even rebooted my computer a couple of times. Had my IT guy look at it - he can't figure out what is going on. For reports I can select which printer I want, but not for Invoice transactions

My only option appears to be to set my default printer in windows to PDF, which is bit of a pain

  • Only thing I did differently is that I closed my 2018 books and opened 2019.

    If you also updated the software to Sage 50 2019, it may have set (or re-set) your settings to print to the default…

    Did you try Setup, Reports and Forms, Invoices and then changing the printer there?

    Yup. Like I said I have done everything humanly possible. Even though it says PDF is selected in Setup, reports and forms, Invoices that is not what happens when I go to print - it uses my inkjet printer and I cannot change it. As I said, my IT guy looked at it and he can't figure out what is going on. Some kind of bug has appeared. Maybe it is an incompatibility with a Windows update, I don't know. IT is really, really aggravating. Would be nice if Sager would come up with a fix

    We still have to determine if the problem is a Sage issue or if it might be Windows OS related. We do not have loads of people complaining about this issue with 2017.3

    A few questions:

    1. What is your PDF printer name? eg. Adobe PDF?
    2. Did you try opening the sample company and try to print to PDF there?
    3. Try changing the printer to the Microsoft XPS Document Writer. Does the issue still occur?

    If you also updated the software to Sage 50 2019, it may have set (or re-set) your settings to print to the default. 

    Microsoft Windows 10 can be set to automatically change your default printer, so if Windows has decided to make PDF your default today, and you happen to look at Sage 50 2019 right after, Sage 50 will appear to be set print to the PDF printer, but it's ACTUALLY set to print to the default, which Windows can keep changing whenever you print from other applications. 

    Turn that feature off in Windows by unchecking 'Allow Windows to manage my default printer' in Printers & scanners, then set up Sage 50 printing.

    If that doesn't seem to be the issue, is the Company File set up with different user profiles?  The print settings for Sysadmin can be different from the settings for another login.

    Are you working from different computers at different times?  If Sage 50 can't find the EXACT printer name you used last time, it may revert to the default printer.

    4. But what I did discover just now and it is really weird. I run two companies' books on this software. The second company I opened it up - I am still in 2018 I have not closed those books - and it has a completely different print process for invoices. When I click on File I get three options: Invoices; Packing slips; and close. When I click Invoices, I get Reports and Forms, among other options. When I click on that, I get to select my printer I. e. Adobe PDF or Microsoft Document Writer etc. And that selection "sticks" and I can print PDFs.

    But when I go back to the company with the 2019 books,  I don't get the "Invoices; Packing slips; and close" options. It goes straight to Reports and Forms, among other options.. when I click on Reports and Forms it shows that Adobe PDF or Microsoft XPS Document Writer is the printer (i.e whatever printer I chose in the Set up section) but it does not translate into the printer that the system uses. it uses whatever printer is set as the default in Windows. And yes the "let Windows manage my printers" is off; it is the first thing my IT guy checked.

    What is so bizarre is that I get PDFs out of invoices in the company that still is in 2018 but I can't that in the company that is in 2019. I won't be closing the 2018 books for a few days so I won't know what will happen to that company re PDFs until then.

    There is something wonky going on here.

    No I didn't update to Sage 2019 because I don't use payroll and the last time I did an update it so screwed up my system I thought I had was going to have to start from scratch (despite my back-ups) It took my IT guy forever to sort it out.

    As in my reply to DMaster, windows managing my default printer is disengaged.

    Will try and check the company profile. Hate to be dumb but where do I find that?

    I only use this computer. That comes from a paranoia I gained years ago when I first started with Simply. I was terrified I would lose data if I switched computers because I couldn't understand how the software saved data.

    Thanks for the suggestions I am game for more.

    I do suggest that you give Sage support a call and have a Level 2 tech take a look at this.
