Search Accounts and Cheque Number

SUGGESTED

Hi

When I search Items in Sales Invoice or Purchases Invoice Window it searches but when I search Accounts it opens another window in which it shows search by Number or Name which took too much time to select in each entry. Is there any way to search directly in Purchases Invoice or Sales Invoice windows.

Secondly, When I select payment in the same Purchase or Sales Invoices by cheque then Cheque number is required field. In the same way when I select Pre-Authorized Debit or Direct Deposits it says Banking Info is required. These fields are necessary for customers who use the software in the store or shop but for Accountants when we post transactions at the end of year for small customers there should be a way to leave these fields empty to post the transactions fast as available in QuickBooks. Is there any way to do it in Sage?

Thanks

    Hi  ,

Thanks for reaching out. I understand you're looking for a way to search for items in Sales or Purchase Invoices more efficiently, as well as how to make transaction postings faster without certain required fields in Sage 50 Canada.

Regarding your first issue, currently, there isn't a feature within Sage 50 that allows direct searching in the Purchase or Sales Invoice windows like the one in QuickBooks. However, you might find using shortcuts for navigation and memorizing frequently used account numbers could slightly speed up the process.

For the second issue, when dealing with cheque numbers, the system does require this information for tracking and audit purposes. Although, there's a method to find the cheque number an invoice was paid with without searching through each payment. Here's a quick guide:

    1. Open the Vendor (or Customer) Aged Detail report by clicking Reports, Payables (or Receivables), and then Vendor Aged (or Customer Aged).
    2. Select the specific vendor (or customer).
    3. Ensure the "Include invoices paid in the last ____ days" field has an appropriate number of days set.
    4. Select OK.
    5. When the report loads, hit Ctrl + F to bring up the find menu at the bottom of the report.
    6. Key in the invoice number, and all payments, with cheque numbers, for that invoice will be listed below.

For further details, please refer to the article How to find the cheque number the invoice was paid on without searching through the payments.

Unfortunately, there's no way to leave these fields empty as the software is designed to require this information to maintain a proper audit trail and for account reconciliation purposes.

If you're frequently posting similar transactions, you may benefit from using recurring entries to save time. If there are other concerns or if this doesn't address your specific needs, please let us know.

If this helps, please mark it as verified :)

    Warm Regards,
    Erzsi
