Timekeeper rates are different in Slip Entry and on eCenter

Version: Sage Timeslips 2015 on Windows 7 - 64 bit.

I have two related problems that I believe will have the same answer.

1. One of our paralegals' rates changed and we have them enter their own time on sagetimeslipsecenter.com, but the new rate does not show up there for her to select. I've been manually changing her rate once the data is downloaded and transferred. I changed her rate under Timekeeper Information and it hasn't worked on either.

2. Three of our associates' rates show up as one amount once I enter the client name, but under Timekeeper Information, their rates are correct.

How do I change the rates so they are all automatic and correct so I don't have to keep wasting time manually changing them? Were the timekeepers entered incorrectly?

    2 things:

    1) When you are exchanging information between the desktop and eCenter are you opting to update rates? (I 'think' there is a check box for that, but could be wrong.)
    2) Rates can pull from one of three sources: Timekeeper, Client or Activity. You changed the Timekeeper rate, but is the client set up to pull the rate from the Timekeeper? Rate rules are per client, so check the Client settings if it is not pulling from the correct location.

    All the checkboxes under "synchronize specific data" are checked.

    We have over 300 clients - is there a way to select all of them? But then when we get new clients, we would have to update them, too. There should be a less convoluted way to ensure that all clients are paired with all Timekeeper rates, and all Timekeepers with all their correct rates, right? In other words, is there a general rate table that applies to both Timekeeper and Client categories?

    I can tell from what you are asking that you're not understanding how it works yet.

    But as a general rule, yes, there is a way to set them all so that they are all the same for all clients.

    However, what we find is that users often start out that way, but then need the flexibility to say that for THIS particular client, the rates should be different. Or, those are our old rates for old clients, but new clients get the new rates. So we have that flexibility.

    Managing that flexibility and aging with it can be a challenge if you don't understand the way the rules work. Are you new to Timeslips? Perhaps taking over from a former employee?

    I'm not new to Timeslips - it's been quite a while that I've been managing the program. It's just gotten to the point that I can't deal with manually changing rates any longer and I've been looking through everything trying to figure out how to clean them up. I understand that you can set specific rates for specific clients and I know how to do that on the client-by-client basis.

    What I have found is that there are a few timekeeper rates that consistently automatically show up for every single client, e.g. $400.00/hr when the timekeeper's correct rate is $250.00, even when it is updated under Timekeeper Info.

    The eCenter problem is a recent rate change issue - the rate isn't offered on the drop down menu for any timekeeper, so it must be missing from both Timeslips and eCenter/some central location.

    So:

    Is there another area of Timeslips where I need to change the rates from so it automatically sets to the correct rate when I input the timekeeper and client into the slip entry?

    Generally speaking, how can I make it so all of the clients are all billed the same rate that is paired with the timekeeper/that there is no variance in rate per employee so they always have their individual rate no matter if the slips are entered into eCenter or the program?

    Here's sort of an overview:

    ALL rate rules are driven by the settings on that individual client's Rates tab. Begin with the line that reads: When no rules apply, default Source ___________, Level ______________. That is the most powerful line on that screen. It tells Timeslips where to get the rate value IF NO OTHER instructions exist.

    The default is the base line. But you can set exceptions to that rule that override the baseline.

    Example: your default rule may say, "When no rules apply, default Source Timekeeper, Level 1. Then the program will pull the value found in slot #1 of each individual Timekeeper's Rates (each Timekeeper has 20 slots for rates). Setting the rate rules this way is THE SIMPLEST and EASIEST way to set rate rules. Same Source and Level for all Timekeepers. When you use this method, you don't want to have ANY sort of exceptions or additional rules.

    But sometimes you need a little more finesse. Like maybe to say, yes, it is Timekeeper Rate 1 for all timekeepers that might work on this client EXCEPT George. George should be charged at his Timekeeper Level 3 rate for this client.

    So we would need to add an Exception rule for George on that client's Rate screen that says IF George is the Timekeeper, then pull Source Timekeeper, Level 3 as the rate for any kind of work that he does.

    Brianar:

    What I cannot tell from your posts is how many rates you have PER Timekeeper. Is it only one? Then set all your Clients to default to Source Timekeeper, Level 1. You can export this setting from one client to all the others, but you absolutely should make a backup first. I really don't like my customers using the Export feature by themselves. It is too easy to accidentally overwrite information. I just have my customers call me and we do it together. We use the feature, but are careful with it.

    Once your rates are correct in your local PC version of Timeslips, then you would upload those rules to eCenter and eCenter should follow them.

    If you have more than one rate per Timekeeper, then I need to understand how you use them to be able to give you any further advice.
