Editing Timeslips After Bill is Approved

Hello..I hope someone can be of assistance.

I have prepared timeslip client entries for billing.  Afterwards I realized the text portion of the slips need editing due to extra spaces which cause strange formatting when printing the report for filing with a motion.  In an attempt to fix them, I get a message (or just beeps) saying that I cannot edit the slip since it has been approved for billing.  I cannot figure out how to unlock them to edit them.  Any advice would be appreciated.

    As a broad, general rule it is not possible to edit a time entry once it has been billed.  This is for audit  and control reasons.  We need to insure that what the client saw on the bill presented to them remains what the system has as a record.  

    It is possible to temporarily allow you to edit billed slips, but I will not post how to do so in a public forum as I view it as a dangerous thing that opens the database up for fraud.  Not that you yourself are trying to commit a fraud by changing the slips, but that some later/other reader might be interested in doing so.

    I also find it rarely necessary.

    What sort of "strange formatting" are you trying to fix?  What sort of report are you printing to accompany the motion?  Have you tried the History Bill for the Court report?  We include that report precisely to give you something that "looks like your invoice" to submit with Motions for Fees.  It usually formats quite nicely and fits most people's needs.

    The formatting issue is that there are sections of blank spaces between timeslip entries when printing a 'Slip Listing' for a particular client.  I am not sure, but think that there are possibly extra spaces in the text field on the slips where the description of the work performed is written.

    I see, does it do it on a History Bill for the Court as well?

    If you need to revise slips that were on ONLY the client's last bill, there is a chance that you can undo the bill, make the changes, and then regenerate the bill again.  I agree with Nancy, however, that you may want to make sure that you don't end up with something in your database different than what your client received as a bill, so I would be extremely careful.

    I may have some insight.  Have these bills been finalized and sent out?  If not you can undo the bills make the corrections and generate them again.  They should even generate with the same invoice numbers.

    I have a somewhat same issue, I have 4 bills that I approved that I need to go back and edit. They have not been sent to the client or court yet. I approved them, and my lawyer had some revisions she wanted to make and I did not realize it. How can I undo these bills to get them the way she wants them?

    You can only undo the last bill for the client.

    You may want to search for other threads that cover your situation.  Basically, Caren is correct, and you can only undo the most recent bill (and only sometimes).

    So, in order to remedy your situation, you will need to:

    - create a new replacement client

    - make duplicate slips for all of the four bills that need to be modified, and put under the new client name

    - possibly make the old client inactive (there are a few ways to do this)

    - fix any A/R under both the old client and the new one

    It will be a mess, and all of your reporting from here into the future will need to be carefully thought out.  (For example, A/R reports will have to be a combination of the old client and the new one, Timekeeper Productivity reports will show double hours for timekeepers who had slips under the old client name and the new one for the bills that need to be redone, etc.)
