TS2014. Error message regarding payment filters

When I have a client who pays $$ on their first visit, I post the $$ under Accounts Receivable just like a regular payment (but I'm not sure where it goes to).  At that point if I go to look at or print a bill, I get an error message that says, "No data selected.  Either no data or selection filters exclude all records".  How do I find out what filters are on and how do I remove them so this will show as a credit balance until there is actual time to post, which may be that month or even the next?  Thanks.  Sue

    My guess is that is not really a filter, but the options under generate bills. I believe there's one regarding clients with AR transactions only. Make sure that is checked. (Don't have Timeslips open right now so from memory)

    Sue, do you actually want to send the client a bill showing the negative balance, or do you just want to know it is there.  If the first choice, then Caren's answer will do it . If the second, you can print an A/R aging and it should show as a negative number, or look at their payments and invoices for the same info.

    Marc:  When I print a bill run, I want all of the bills to print--either with a credit or debit balance.  I will not mail the statements out with a credit balance but it keeps me aware of who has one.

    I'm not sure after "Bills"; "Generate bills"  and then "Report Entry: Generate Bills" screen comes up if I can just skip the "Filter Groups" section and just go to "Printer" and "Print" to print a bill run. I am in a small office and don't think I will need that.  Thanks.  Sue

    If you ask for nothing, you get everything, so don't filter the clients when you do your bill run.  You might need to filter the dates, plus the options button as Caren suggested.

    I still am not able to print or display accounts that I have applied only a payment to.  The message says:" No data was selected. Either there is no data available or the selection filters exclude all records."

    Then I went to "Bills" "Generate Bills" "Generate Bills Report Option" and under "Limit Data" these are checked:  Show bills with balances but no activity;

                    Show bills with funds activity only;

                    Include Clients who are paid in full;

                    Include payments with unapplied amounts; and

                    Release slips marked hold

    Any ideas?  Thanks for the help.  Sue

    Do you have a previous bill for this client still in Proof Stage?  Check Bills, Approve or Clear Bills and if it's there, approve it first.     Also, what do you get if you print a full detail worksheet for this client?

  • 0 in reply to MarcAC

    I don't have any clients in the Proof stage.  When you ask about "a full detail worksheet" are you asking about generating a bill to send to the client?  I have set up a new account called "test" where I applied $$ and then tried to print it but it won't print or display and it will give me the message on my July 17 post.

    I also went to "Bills" "Generate Bills" and got a "Hint" that said, "You may want to set the following prior to printing the bill: "Option--Release Slips on Hold".   Is this referring to slips that I hold (under Names and then Arrangement 1 when I set up a new client) so bills don't go out?  These test accounts are not marked Hold.

    Thanks for staying with me.  Sue

    Sue, holding slips on the slip entry form is a slip based hold while the arrangement 1 tab you refer to is a client based hold.  Different animals entirely although any of these hold options are reported on the charges on hold analysis report.

    It looks as though you might want to reach out to a consultant that helps out on this board for some professional assistance to resolve your problem and teach you more about how Timeslips works.

    Allen,  I'm not sure we're on the same page.  I am just trying to apply a payment to a new account to create a credit balance for future slips maybe a month or 2 down the road.

    Can you tell me how I can reach the consultant you refer to so I can resolve this issue?  Thanks.  Sue

    :-)

    Sue, Allen meant any of us who have been trying to answer your question.  Caren, Marc, Allen and I all do this for a living.  While we are happy to assist with quick answers here on the forum, your problem does not appear to be one of those that is resolving quickly and thus may need a bit more attention and "eyes on."

    Any of us can remote into your computer and look at it with you to try and resolve the problem, for a fee.

    You can contact us via the information provided in our signature blocks.

    Best of luck with it.

    Hope this helps.

    Thank you so much.  I just thought this would be a fairly common situation--setting up clients with a credit balance--but there is so much to Timeslips that I can understand now that individual settings are probably the key.  I am the only one in our office who works with this so I will look into the takeover with the fee as getting eyes on my settings may be the best for us.  Thanks again.  Sue

    Sue, the problem is that we don't understand why it isn't printing either.  There is nothing particularly unusual about the credit balance, so we are left sort of scratching our heads about what it could be.

    Hence the recommendation to just have one of us look at it.  Often times that is a lot faster than trying to diagnose something via a few sentences/clues here on the board.

    Hope this helps.

    HOORAY!!  I figured it out--Payments are applied against slips and Credits are applied to a future invoice.  I was applying these as Payments when they should be applied as Credits and then the invoices will print showing the credit balance (until slips are added to the account).  Thanks again to everyone.  Sue
