Formula for "Prior Year Job to Date Cost" . Any suggestions?

SUGGESTED

Hi. I'm looking for a formula that I can add as one of the custom JC total fields. I need it to show "Prior Year Job to Date Cost" . Any suggestions? I'm lost on this one...

Thanks,

Amanda

It's a very simple formula that you will need to create and save as a Public Formula by going to JC > Tools > Formulas. The formula would subtract YTD Cost from JTD Cost, either using the specific record you wish to use to report against (Job, Cost Code, etc). If you want the combined Job and Extras in your totals, be sure to include the respective Extras YTD and Extras JTD totals in your formula also.

Art's reply will work in some cases but not all. Since a Job can cross multiple years, and JTD Cost is the total of all costs regardless of what year the cost was incurred, there are several scenarios where subtracting the YTD Cost from the JTD Cost would not provide accurate figures for the previous year. An example would be with a Job that started in 2013 and completed in 2015. JTD Cost - YTD Cost would return the costs for both 2013 and 2014 instead of only the costs incurred in 2014. In this type of scenario it will not be possible to use a formula in JC Custom Totals to calculate the cost for 2014 since these formulas can use only JC Master file records because there isn't a field that stores the prior year costs in the JC Master file. You may want to consider a custom report to calculate these amounts based on transaction records as opposed to using custom totals. Additionally, the recalculate custom totals feature can take quite awhile to run.
