Sending Report Designer reports to Project Manager with My Assistant

SOLVED

I have a report working in Report Designer that I would like to be able to send the Project Managers only their jobs - but when I use My Assistant it sends all jobs. I use My Assistant for notifications and it works great, but this is the first time I have tried attaching a report.  How so I set up a condition in Report Designer to so it will only their jobs?  My preference would be each job would be a separate attachment, but would be happy if I could get it to only send their jobs.  The driving record in the report is JC Transactions.

Any help greatly appreciated !

    Teresa,

I would suggest reviewing the Sending Personalized Content tutorial on the MyAssistantTraining Youtube channel.

Note: Some of the field references may be considered out of date as we have since added fields like Email on the Payroll Employee and Project Manager Email on the Job setup.

You will need to modify your report to be able to condition on the project manager. For example, if you ran the report directly from Sage 300 Construction and Real Estate you may have a prompt/parameter using either the Project Manager field or the Project Manager Email field from the JC - Job record. You would then be able to enter the project manager name or the email address (depending on the field) and get a report that only provided you the information for this project manager.

In MyAssistant you will use an email directory either to lookup the email address from Project Manager Email field or you can provide each email address based on the name found in the Project Manager field.

MyAssistant will generate a new email and a new report passing through new criteria for each unique email combination.

You would not be able to send each job as a separate attachment unless you use a separate report for each job and would probably also want to add a condition prompt/parameter for job to the report. As a workaround you can generate a new email for each job. Basically you would choose another field or a custom field to add a second bogus email address unique to each job. You could then add the second bogus email directory in MyAssistant to the BCC line of the email. Since MyAssistant sends an email per unique email combination, you would would get an email for [email protected] + [email protected] creating a unique combination for each job.

There are some more details on this in article ID:58433 - Can MyAssistant send one PDF report attachment per record? in the Sage Knowledgebase.

I am still having some issues getting this to work properly.  I set up a bogus email on each job but it is still grouping the reports by PM.

The original report had the PM field as a parameter, I added the Job as a parameter but when it runs through MA it get "No Information to Print".  What am I missing?  I have an email directory for PM in the TO: field and the bogus Job Email Directory in the BCC: field.
