Total Billings

SOLVED

Does anyone know the Formula that Timberline uses for its Total Billings and Total Billings YTD field?

    SUGGESTED

It will depend on the report that you are using. Which report are you referring too?

If it is a transaction based report, it will most likely sum up the different transaction types like work billed, work/retainage and retainage billed and may also take into consideration certain adjustment types.

If it is a YTD field, that typically would suggest that the total is coming off of a master file. It would pull the total from the setup. It could be from the customer, contract, job, cost code.

If you open the report in Report Designer, then highlight the field, you can select Tools>Formulas and it will give you the formula.

If the report is Crystal and you open it in Crystal reports, you can use the field explorer to expand the formulas section. You can then right-click and select Edit to review the formula itself.

Are you asking what determines the values in that field?

You can right-click and select What's this? on those fields to get a full description of every field in that window. This can be done almost anywhere in the software.

Total Billings:Displays the amount of invoices billed to this customer for the life of the customer. This amount includes miscellaneous and additional billing amounts, such as sales tax and deductions.

YTD Billings: Displays the amount of invoices billed to this customer year-to-date. This amount includes miscellaneous and additional billing amounts, such as sales tax and deductions.

Yes i am looking for what determinations the values in the field and trying to recreate that because one of my customers i am getting a different number when i do the math and when timberline does the math. When i do a Sum of all YTD invoices for a specific customer i get $1,366.20, but according to Timberline the total billings YTD is $154,753.38. So where am i screwing up?

My first guess would be that because AR can post one full year ahead (hence the Next Year bucket), they may have never closed the year and the YTD totals actually represent 2013 totals. You can verify this is the case in File>Company Settings>AR Settings, or does the Next Year field match your $1366.20?

    Other options to consider:

    1. Do they have anything moved to history for this year that they should not?

    2. Instead of closing the year would someone have used the Audit Setup Activity to either change the year in AR settings or to manually change the values on the customer?

    3. Is it the same issue for all customers or just the one you are looking at?

    4. Perhaps you would want to contact customer support at this point. (Toll Free 1-800-551-8307)
