Locking down Network Share of Printout/PR

SUGGESTED

Hi all, I have a question, whenever our PR user does anything, it creates a printout to the Printout/PR folder in case the system ever goes down and a backup doesn't work. The question is, how does it write to that network share? Does it just use the windows credentials of the user, or is it more indepth? I ask, as technically someone could go into that folder who doesn't need to see payroll, could open the .prn file and see what people are paid, or what checks have been inputted. Any help would greatly be appreciated. Thank you.

    Cee,

I am guessing you are referring to the file location you have selected (File>Company Settings>File Locations>Printouts) or automatic printing of journals in Tools>Options>[Journals].

Regardless, yes it is just accessing a Windows folder and thus using Windows security. You can lock that folder down using Windows security. If a user does not have access to that folder, they will not be able to access it from Sage 300 CRE.

Hi Casey, that is correct, I just wanted to make sure that it was just linked to the windows security, and it didn't use a special admin  or special sage 300 user account to write to that network location. Thank you Casey.

    Cee,

It sounds like you are using the new Automatically print journals to a file setting found in Tools, Options, on the Journals tab. This allows you to specify where journals get saved and how they are named. To secure the printouts, you can have your IT administrator set the PR printouts folder to only allow access to users that are allowed to view payroll information.

    Thanks!
