Can the cost unit desc be changed in the standard category setup?

I need to change the cost unit description to only be 4 characters so that estimates will import from SAGE Estimating 16.11. In Estimating you are limited to only 4 characters so i can not change it here.  For Labor category the unit cost desc is HOURS and it can only be 4 characters for my estimate to import.  I realize I can set the JC import settings to "Reject if different Cost Unit Description" but I am being advised against doing this since it would allow errors to pass through.  Any help would be appreciated.  Thanks.

    Have you tried editing the Cost Unit Description in JC > Setup > Standard Categories for from "Hours" to something that matches what is used in Estimating? You can't change the length of that field without a file fix being done by Sage. But you don't have to use all the available spaces when entering a description. Can be as short as you want. Just match your cost unit descriptions to your estimating descriptions.

    I haven't tried yet, I was just wanting to check to see if there were any ramifications in the 300CRE with changing this.

    Cause
    If the cost unit description used on the import file differs from the existing cost unit description used on the Category or Standard Category, the Job Cost Import Estimates journal prints "Cost unit desc different on category record" as the reason for rejection for each rejected line item.



    Resolution
    In order to successfully import an estimate, the cost unit description in the import file must match the cost unit description already in Job Cost, unless your setting in Job Cost are set to allow different cost unit descriptions to import.

    Use Option A if you want to change the cost unit description in Job Cost. Use Option B if you want to change the cost unit description in the import file. Use Option C if you want to allow different cost unit descriptions to import.

    Option A
    Use this option when you want to change the cost unit description in Job Cost.

    From Job Cost, select Setup, Categories.
    Enter the Job, Cost Code and Category for which the import was rejected.
    From the General tab, note the Cost unit desc box.
    If the description in this box is correct, change the cost unit description on the import file. (See Option B below.)
    If you do not want the description found here, either change the entry in this box or delete it and leave it blank to allow the estimate to import with the cost unit description found in the import file.
    If the Cost unit desc box is unavailable on the General tab, see the attached topic below.

    Option B
    Use this option if you want to change the cost unit description in the import file.

    Have at hand the Estimate Import Report that listed the errors encountered on the previous import.
    Open the rejected records file with any text editor, such as Notepad, that retains the file in a text format. (Remember you specified a file name and path for the Rejected records file when you imported the estimate. If you do not remember the path or file name, you can do a search in Windows for files ending with extension .jce.)
    Add, change, or delete text lines as appropriate to correct the errors.
    Save the file in text format and exit the text editor.
    Backup the edited rejected records file.
    Use the edited rejected records file as the import file to Import Estimates.
    Option C
    Use this option if you want to allow different cost unit descriptions to import.

    In Job Cost, go to File, Company Settings, JC Settings, Import.
    Clear the Reject if different Cost Unit Description check box.
    Click OK twice.
    Import the file again.
    Note: If the cost unit descriptions are inconsistent in the import file, you can go back to your original estimating program to make corrections. For example, cost unit descriptions for labor may show as both "hours" and "sqft". This can be corrected in the estimating software before an import file is created.

    I found this article but it does not have the option to change it on the Standard Categories which would then not make it necessary to change per job. This would be a much better solution than having to do it on each job. I can't make the change in Estimating due to the field limitation of 4 characters.

    Changing it in the Standard Categories only affects new Job-Cost Code-Categories setup after you've made the change. When you import an estimate, it can automatically setup your Cost Codes and Categories, copying the settings from the Standard Cateogories. If you've already manually entered the Cost Codes and Categories for the job in question, then you need to change the settings on that specific job. Changing the Standard Category settings or cost unit descriptions does not change existing job setups.

    One option is to edit the import file after it's created. The import file is CSV file. You can do a "search and replace" on the CSV file using a text editor such as Notepad to change the "cost unit description" before you import It to JC to match the descriptions you use in JC. That allows you to overcome the 4-character limitation.

    You can also use ODBC to easily update the cost unit description on existing jobs if you're familiar with Microsoft Access.

    Thanks so much Art! We have only imported a test job and had to do the changing to the unit descriptions at the job level in order for the import to be successful. I am going to change at the Standard Category settings level. Surely, the unit description change should not have any impact on existing jobs but will be used on new jobs that are imported. Thanks again!
