Payroll privacy workflow

I am curious as to what the workflow is for other companies, and who has access to various payroll information.

We have a Dispatcher who enters daily payroll for the field technicians.  We recently discovered this person is able to see pay rates for any of our employees set up as hourly employees (not good).

We have a Payroll Clerk who enters payroll in the Payroll Records (5-2-2) screen.  This person, obviously, can see all payroll information for all employees.

I am going to block the Dispatcher from seeing the wage rates, but now this means that either I or the Payroll Clerk will have to go through the payroll records and input the hourly rates after the Daily Payroll has been has been imported.

How does your company do it?  Which positions are able to view/input Payroll Records?

  • We have the same issue. To work around Sage and ensure we maintain employee privacy, I have my Accountant open up the daily labor card screen and key down the rate column during the biweekly payroll process. Not ideal, but doing all days at once doesn't seem to take much time.

    Be very careful about just entering down to fill in the wage rates. If you are doing any certified payroll and using job paygroups the system has to work across in order to pull the correct data. I saw someone doing this and they didn't notice that the rates were defaulting from the line above instead of performing the normal lookup function.
    If they get the same pay all the time, just make sure it defaults correctly for over time rates.
