Unbalanced Balance Sheet

I didn't think it was possible but somehow my balance sheet is now no longer balanced. I tracked down the event and it seems to be related to the creation of the new fiscal year. Retained earnings balance was incorrectly migrated so my B/S is balanced on Dec 31st but not on Jan 1. I tried Advanced Database check but the minor fixes that were made had no impact on the error. Is there a way to manually adjust just account 3560 to bring B/S back into balance (all other account values are correct). I need to post an unbalanced transaction but the system does not let me do this.

Call Sage Support line and get the agent to run a rebuild.

I had exactly the same situation about 2 - 3 years ago. Only fix was to call support and have them correct it. You may want to do a backup prior to support getting in there.

thanks for the answer, did the fix involve creating a whole new company or were you able to "save" your existing file? I would not want to lose all my history by rebuilding a new file.

    Hi Tomv123,

Please backup your data first (before advance to new fiscal year) by going to File, Backup.

Then, follow the link below to run dbutil to rebuild your data file.

How to use Database Utilities (Sage_SA_dbutil.exe)? - KB10403

Run dbutil on the data file that is not yet advanced to new fiscal year.  After running dbutil, advance to new fiscal year and check the balance.

Running dbutil will not create a whole new company.  You will still have your existing data file.

    Hope this helps.

Thanks for the help, unfortunately dbutil did not fix the issue. Went through the steps but when I opened the file the error is still there. Maybe because the offending transaction is in a past year?

    Hi TomV123,

When you say the balance sheet is no longer balance, do you mean the total asset is not the same as the Liabilities and Equity in the balance sheet?

If this is not the case, there can be other factors that could play a role in this scenario and while other Sage City members may still offer input, I’d like to invite you to work with our Sage Support Team by calling 1-888-522-2722.

If you are not currently under a support plan with us, you are welcome to call 1-888-261-9610 to review the Sage Maintenance and support plans available.

    Hope this helps.

Regarding the fix - If I remember right I did not lose anything and able to keep the same data files I had. But I noticed this right away so hadn't done any posting in the new year. I can't remember if I had to send them the data files to correct or if they were able to do over the phone thru GoToAssist. There was one instance where I did have to send data files for repairs but did get it back in about 3 days and no charge for repairs.
