Post-Dated Payments

I'm a new user of SA2010 Premium.  I needed to issue post-dated cheques for rent from July 1st to December 1st and didn't think this would be a problem as the date range does not go across either the calendar year end or my company year end (May 31), so I went ahead and entered an invoice for the first of each month, then issued a (manually written) cheque for each and entered the payment for each invoice.

When I run the Income Statement for June, it includes all of these payments even though they are dated past the end of the month. Obviously this is not handling things the way I expected, which was to include only the transactions with transaction dates that fall within the date range being reported on.

So, what I would now like to do is reverse all of the post-dated transactions that were entered so I can get accurate monthly statements. Unfortunately, I can't seem to access the transactions that are dated ahead of my current session date. The obvious thing to do would seem to be to advance the session date to December, but before I mess anything up worse than it already is, I wanted to ask if that is what I should do!? And if I do that, will I be able to reverse the payments and the invoices that have been entered?

In case it makes a difference, I am still in "history mode". I have actually (just) finished entering all the historical data that I intend to enter, so I could flip the "Finish Entering History" switch at this point if necessary.

  • Sounds like you dated the invoice for each month in the appropriate month but when you went to payments to record the manually written cheques, you didn't change the payment date.

    So you probably just need to adjust the date on each cheque.

    Now did you do these entries in History mode?  Or in Purchases and Payments?  History is for everything that is before using Simply.

    Run your vendor aged report from Reports, Payables, Vendor Aged in Detail (set the end date for Dec 31 or the last date on the drop-down list for the date) for the landlord and you will see the dates of all transactions on the left.  Then if you see the dates of the payments are all the same, double-click the payment, make sure you have the correct one and then hit the Adjust button on the toolbar and change the date.  Then hit post again.

  • Thanks for the quick response - unfortunately this doesn't help me. Running the report as you specified (lateste available date is June 30) gets me only one invoice and one payment, each dated June 1.

    These transactions were entered in Purchases and Payments, not in History. I'm almost certain that I changed the date for each payment as they were entered, but can't confirm that as I still can't see the payments. It seems to me a totally bizarre situation that when I run the Income Statement the amount shown for Rent is the total of all the payments, but when I drill down it shows just the one - must make sense to somebody though!

    Is there a downside to moving the session date to December to allow me access to these transactions?

    Any more ideas?

     Hi there:  In your first post you said that the income statement dated June 30th showed all the entries in the Rent expense.  Yet in your last post you said that the report for income statement at June 30 shows only one invoice and one payment, each dated June 1st.  Not sure why the discrepancy but if it is only showing the June invoice and June payment, then that would be correct would it not?  You will not be able to see the other "future dated" entries that you made until you advance the date.  Not sure that you want to do that, although there are no consequences of doing so.  It's just that the date will default to Dec. 31st all the time and you will have to be careful not to accidentally post something to the default date instead of the more current date that you want to use.

    One suggestion in this whole thing.  If you were preparing hand-written cheques, and not having to print them from the system, you did not have to enter the rent invoice or the rent payment until the 1st of each month once you had advanced your session date to the new month.  "Pre-recording" them all was just not necessary.  That would only be necessary if you wanted to print them from the system.  With hand written cheques you can wait and record them in the appropriate time period, no problem. 

    If you have correctly dated all your Rent invoices and you have correctly dated all your entries for the hand-written cheques, then the reports should be properly showing at the date you request.  There should not be any future dated items included in the report.  Try again to pull up the report for the Income Statement at June 30th and you should see that it is OK.  If you advance your date today to July 1st (or 31st if you like to have the full month available to you when entering transactions, without warnings) and then pull up the report for the Income Statement at July 1st (or 31st, whichever date you advanced to), you should see the two months worth of rent included in the statements (for June and July).  Rita Deering

  • Hi Rita - thanks for your response.

    Well if that isn't the darndest thing!... Income Statement for June 1 to June 30 shows Rent $10,577.00 (all transactions entered) but for June 1 to July 1 it shows $3,004.50 (correct, 2 months worth)! Smells like a bug to me, but at least it looks like I have accurate numbers as long as I don't look at just the month of June!

    Incidentally, I don't think there was a discrepancy between my posts - in the first post I was referring only to the total showing for Rent, which as stated in my last post includes all of the entered transactions. It is when I drill down that only the current months entries appear (i.e. the entries displayed do not add up to the total double-clicked on).

    I do understand that I didn't need to enter the future transactions, but thought it would be better to do it now rather than having to remember to do it on the first of each month (silly me!)

    Here's hoping there's no more to this than meets the eye!
